Catering
Catering arrangements for all Gaithersburg sites must be made by using the Catertrax website or emailing the Director of Catering at GBCatering@AstraZeneca.com. Catering hours are (Monday through Friday, 7:00AM to 5:00PM).
Outside Catering
Outside catering is defined as any food delivered by a meal delivery service, company or contractor not prepared by the onsite café team. Catering from outside vendors is not allowed. External catering services can only be used after hours, on weekends and when Catering is at capacity. Use of outside catering must be approved and coordinated by the Café Manager.
Catering can coordinate after-hours catering if scheduled in advance. For your safety, this policy is strictly enforced by Security. Outside caterers will be turned away during business hours.
How to Submit a Catering Request
Complete and submit the online Catering Request Form through Catertrax at least 24 hours prior to the event. Flik Hospitality will deliver to the specified location on the day and time requested. Note that the first time you use Catertrax, you will be prompted to set up an account. This process will take approximately 5 minutes. Email theCatering Office at GBCatering@AstraZeneca.com for specialty menus, large event planning or other information. The office is open 8:00 a.m. - 5:00 p.m.
Attendee Guarantees
Please let catering know as soon as possible if guest counts are expected to increase or decrease and the team will make every effort to accommodate you. Flik Hospitality requires that the number of guests be guaranteed a minimum of 24 hours in advance and you will be billed accordingly.
Cancellations
Please notify Catering 48 hours in advance to avoid any cancellation fees due to our advanced preparation. Any cancellation received within 48 hours before the function will be charged 25% of the listed price. Any cancellation received within 24 hours of the function will be charged at 100% of the listed price.
Service Charges/Minimums
Catering delivery requires a minimum of 6 guests. Parties and special events that require staff to set up and clean up after the event are considered to be full service. Service personnel are billed at the rate of $35 per hour. Any event that is scheduled outside Catering hours of operation may incur additional charges.
Rental Items and Special Decorations
The Catering department can place rental orders for tables, chairs, china, linens or tents, as well as floral arrangements and special decorations with a 72-hour notice. A 10% handling fee will be added to each order. The client assumes responsibility for damage or theft of rental items. Kindly note helium balloons are not permitted onsite. They are not environmentally friendly and have the potential to interfere with the fire detection system.
Equipment
If you move any equipment from the delivery location, please notify the Catering department of the new location so we can recover the equipment. Catering Policy prohibits the loaning of our equipment. Any equipment or supplies missing at the time of pick up will be billed to the sponsoring cost center at replacement value.
Disposables/China Service
All deliveries will include disposable utensils, paper ware, and all necessary condiments. There is an additional charge for the use of china, linen, glassware and stainless ware. For specific charges, please inquire when placing your order.
Unconsumed Food and Beverages
In compliance with local health department regulations, all perishable items left out at room temperature for more than two hours will be removed and discarded by the catering team. Non-perishable items may be left with the host upon request. Credit is not issued for leftover food or unused items.
